Duties of Officers and Representatives

President

The duties of the President shall include, but not be limited to the following:

  1. Preside at Professional Council meetings.
  2. Appoint all Ad Hoc Committee Chairpersons.
  3. Coordinate the schedule, agenda and logistics of the monthly and emergency meetings with the officers.
  4. Serve as Parliamentarian at constituency meetings, as prescribed in Article IX.
  5. Attend Constituency Head meeting with the President prior to the Daytona State College District Board of Trustees meeting.
  6. Attend the District Board of Trustees meetings.
  7. Serve as ex-officio member of all committees.
  8. Serve as a representative to the Planning Council, attend Planning Council meetings and report to the Professional Council.

Vice-President

The duties of the Vice-President shall include, but not be limited to the following:

  1. Act in the Council President’s absence.
  2. Assist the President in all his/her duties.
  3. Preside over the By-laws Committee.

Secretary

The duties of the Secretary shall include, but not be limited to the following:

  1. Keep and distribute minutes of the Council.
  2. Handle correspondence for the Council.
  3. Maintain records of the council and serve as Historian and chair of the Historical Committee as needed.
  4. Notify members of times and dates of scheduled and emergency meetings and provide/distribute agenda.

Treasurer

The duties of the Treasurer shall include, but not be limited to the following:

  1. Handle Council funds in accordance with approved College policies.
  2. Provide financial reports monthly to the Council.
  3. In absence of the Secretary, keep minutes of the Council.

Technology Specialist

The duties of the Treasurer shall include, but not be limited to the following:

  1. Coordinate, set-up, and maintain software and hardware technology necessary to stream meetings online. Work with the College's distance learning and IT platforms to provide remote participation of council meetings where possible.
  2. Physically attend council meetings when possible or designate an alternate to act as the liaison between physical and online audiences.
  3. Address technology related issues during the meeting as they arise.
  4. Facilitate and archive message board discussions taking place during each meeting.
  5. Provide online attendance and written record of message board discussions with the secretary for inclusion in minutes.
  6. Communicate with technology staff regarding college-wide program updates and media (flash, etc.) that can impact or improve the manner in which council meetings are broadcast and/or archived.
  7. Assist the professional council elected staff in developing and delivering technology-based reports, presentations, etc. to the College President and/or Board of Trustees as needed.
  8. Train a Technology Apprentice to perform aforementioned duties in absence of the Specialist.
